Concierly is committed to protecting the personal data of every guest and organiser who uses our platform. This policy explains what we collect, why we collect it and how we protect it.
Concierly is an event concierge platform operated by Concierly Ltd, providing guest management, RSVP collection, check-in services and post-event communications for events across Ghana, Nigeria, the United Kingdom and beyond. When guests RSVP to an event managed by Concierly, we collect: full name, email address, phone number, meal preference, dietary requirements, attendance confirmation and WhatsApp opt-in consent. We also collect event-day check-in timestamps and IP addresses for security and fraud prevention. When event organisers use our platform, we collect their name, company name, email address, phone number and billing information.
Guest data is collected solely to manage the event on behalf of the organiser. This includes sending RSVP confirmations, entry QR codes, event-day reminders and post-event thank-you messages. We do not use guest data for any marketing or commercial purpose beyond the specific event they RSVPed to. Organiser data is used to provide and improve the Concierly platform, process payments and communicate about their account.
If you opted in during the RSVP process, we will send you event updates and a personal thank-you message from the event host via WhatsApp. Your consent is recorded with a timestamp and IP address. You can opt out at any time by replying STOP to any WhatsApp message from us. We use the WhatsApp Business API operated by Meta Platforms Inc. Messages are sent through our authorised provider and are subject to Meta's data processing terms.
We share guest data only with the event organiser who is responsible for the event you RSVPed to. We use the following third-party service providers who process data on our behalf under strict data processing agreements: Supabase Inc (database and authentication), Vercel Inc (hosting), Resend (email delivery), Africa's Talking (SMS delivery) and Meta Platforms Inc (WhatsApp Business API). We do not sell, trade or otherwise transfer your personal data to any other third parties.
Guest data is retained for 12 months following the event date, after which it is permanently deleted or anonymised. Event organisers may request earlier deletion of guest data at any time by contacting us at privacy@concierly.com. Organiser account data is retained for the duration of the account and for 3 years after account closure for legal and billing purposes.
Under the Ghana Data Protection Act 2012 and applicable data protection laws, you have the right to: access the personal data we hold about you, request correction of inaccurate data, request deletion of your data, withdraw consent for WhatsApp communications at any time, and lodge a complaint with the Ghana Data Protection Commission. To exercise any of these rights, contact us at privacy@concierly.com. We will respond within 30 days.
All data is encrypted in transit using TLS 1.3 and at rest using AES-256 encryption. Access to personal data is restricted to authorised Concierly team members on a need-to-know basis. We conduct regular security reviews and our infrastructure providers maintain SOC 2 Type II compliance. QR entry codes are cryptographically signed and expire after the event.
Concierly.com uses essential cookies only — for authentication sessions and security. We do not use tracking cookies, advertising cookies or analytics cookies. No third-party advertising networks have access to your data through our platform.
We may update this Privacy Policy from time to time. We will notify event organisers of significant changes by email. The date of the most recent update is shown at the bottom of this page. Continued use of Concierly after changes constitutes acceptance of the updated policy.
